WHAT IS STUDIO MEMBERSHIP?

Studio memberships offer a set number of private 1:1 sessions every month, as well as free access to all online mat classes. Clients are encouraged to choose a regular private slot for their 1:1 sessions to establish a routine.

This is intended to give clients access to the very best of the Pilates system as it was originally devised: routine and discipline through a combination of focused 1:1 apparatus sessions and independent matwork practice.

Pilates is a practice that rewards continuity and repetition; each session builds on the last. A studio membership is a commitment to yourself and your practice, creating the ideal conditions for progress, learning, and growing confidence over time.

How much does studio membership cost?

Sessions per month:

  • Two private sessions: £110pm

  • Four private sessions: £210pm

  • Eight private sessions: £415pm

All studio memberships include free access to online mat classes: live Zoom + over 200 on-demand videos (£25pm value) so clients can practise the matwork at home.

Memberships have a three-month minimum commitment. Clients who need more flexibility (or who don’t want to commit to a membership) can still purchase single sessions on a pay-as-you-go basis for £57 per session.

How do memberships work?

Memberships run on calendar months, with a fixed number of private sessions included every month. These can be taken at the studio or over Zoom. Payment is taken automatically on the same date each month, and session credits reset at the start of each billing cycle.

Do unused sessions roll over?

No. Session credits are allocated monthly and don’t roll over. Memberships are designed to encourage regular attendance, so it’s important to plan ahead within each month to use up your sessions. See below for further information on this.

How do I cancel or pause my membership?

Memberships have a three-month minimum commitment.

From month four onwards, you can cancel your membership by giving one full calendar month’s notice before your next scheduled payment date. Notice must be given in writing via email.

If notice is given less than one calendar month before your next scheduled payment, payment for the next month will be taken as planned, and your cancellation will take effect from the following month instead.

Example:

If you take out a membership on 1 January, your membership will automatically renew on 1 February and 1 March, giving you three months’ worth of sessions as per the stated minimum commitment period.

In this case, your minimum term will end on 31 March, with your next (fourth) payment due on 1 April.

If you decide not to renew your membership on 1 April, you’ll need to notify me on or before 1 March. Your membership will then end on 31 March.

If you notify me of your cancellation after 1 March but before April, the next scheduled payment will be taken on 1 April and your membership will end on 30 April instead.

What happens in months with a fifth week?

Studio memberships do not account for five-week months; the number of sessions remains the same every month. In such instances, clients who prefer to attend weekly or twice-weekly may:

  • purchase a one-off additional session for £57 if you’d like to attend during the fifth week, or

  • skip that fifth session.

There may be the odd occasion where my annual leave coincides with a five-week month, so it’s usually best to wait until nearer the time before deciding whether you’d like to add an extra session that month, as it might balance out anyway.

What if I (Ashiya) am away?

When I’m due to be away, I’ll always give notice in advance and let you know the best way to use your sessions around that period; for example, by taking a session before or after.

If replacement sessions can’t be delivered due to my availability, please rest assured that this will be handled fairly and directly, either by adjustment of the next monthly payment or rollover of the session credit. The same applies if I’m unable to teach due to illness or otherwise.

What if you (the client) are away, or you’re ill?

Session credits are allocated on a monthly basis even when you’re away or ill, so being mindful of this and planning ahead where possible is important.

Think of it like a gym membership; there may be times that you end up missing a session or two when life gets in the way. However, the hope is that this will help you to stay committed to the practice on a long-term basis.

To make up for any missed sessions, if I have availability, you’ll have the option to take extra sessions before or after your time away (provided it’s within the billing cycle).

However, as availability cannot always be guaranteed, I have various other options:

  • If you’re going away and you’d like to maintain a routine, you are welcome to take mat privates with me over Zoom in place of our usual studio sessions. These are a great opportunity to really dig into technique, which has a huge impact on your studio practice.

  • After the initial three month commitment, you may decide to temporarily switch your membership to one with fewer sessions (for example, two sessions per month) during busy periods. You can do so on request with one calendar month’s notice before your next renewal is due. Please note, your regular slot may be forfeited.

  • There’s also the option (again, after the initial three-month commitment) to freeze your membership for one month, with one calendar month’s notice before your next renewal is due. If you pay for the following month upfront (before the freeze), you’ll be able to reclaim your fixed slot upon returning.

  • You can also gift your session credit to a friend or family member who you think might benefit from some Pilates in their life! Please email me to arrange this, as I’ll need them to fill out some forms before they attend.

I’ve taken out a membership; how do I request a fixed slot?

If you’d like sessions (weekly, fortnightly or twice-weekly) at a set time, simply check the studio calendar and email me to enquire about your preferred slot. For example, if you see that I have Tuesdays at 7:30am showing on my calendar, you might request this. If it’s available long-term, I will then hold it back for you. In order to keep the slot, it is expected that you attend on a regular basis.

Having a regular time each week not only means you don’t need to worry about booking, it also helps you build a steady routine, which makes it easier to make progress in your practice.

What if my work schedule is erratic, or I’m away a lot?

Many clients with busy or unpredictable lives find that having a regular session booked in actually helps anchor their practice. You can also take private mat sessions over Zoom with me while you’re away – in place of your usual studio session – in order to maintain a routine.

That said, if you know that your availability will be very inconsistent over a longer period, booking single sessions on a pay-as-you-go basis may be more suitable, as these allow greater flexibility.

I’m always happy to talk this through with you and help you choose the option that feels most supportive rather than stressful.

I’m not ready to commit! Are memberships the only option?

No! If you need more flexibility, you’re very welcome to book single sessions for £57, on a pay-as-you-go basis, instead. Memberships work best for those who want a regular, ongoing practice, but they’re not the right fit for everyone.

STUDIO MEMBERSHIP CONTRACT

Pilates By Ashiya

This Contract is entered into between Pilates By Ashiya (“the Studio”) and the Client (“you”) upon the purchase of a Studio Membership.

By purchasing and continuing a Studio Membership, you confirm that you have read, understood, and agree to the terms set out below.

1. Scope of Services

1.1 Pilates By Ashiya provides private Pilates instruction delivered in-studio or via Zoom.

1.2 Instruction is provided for general fitness and wellbeing purposes only and does not constitute medical advice, diagnosis, or treatment.

1.3 Results are individual and no specific outcomes are guaranteed.

2. Membership Structure & Usage

2.1 Memberships operate on calendar-month billing cycles with a fixed number of session credits per month, as specified at the time of purchase.

2.2 Membership becomes active on the date of the first payment. Payment is taken automatically on the same date each calendar month, and session credits reset on that date.

2.3 Session credits:

  • may be used for private 1:1 sessions in-studio or via Zoom;

  • must be used within the relevant billing month; and

  • do not roll over or accumulate.

2.4 Clients are responsible for scheduling and attending sessions within each billing cycle. Unused credits — including those missed due to illness, travel, or personal circumstances — will be forfeited.

2.5 Over a twelve-month period, a four-session monthly membership equates to 48 sessions. In months where there is a fifth occurrence of a client’s usual session day, clients may either:

  • purchase a one-off additional session to continue weekly attendance, or

  • skip that fifth session.

2.6 Clients may gift unused session credits to a friend or family member by booking a session on their behalf.

To do so, the client must:

  • book the session in the usual way using their own membership credit; and

  • email pilates.ashiya@gmail.com with the guest’s full name and contact details prior to the session.

The guest must complete all required health declaration, informed consent, and liability waiver forms before attending the session.

Session credits gifted to a guest:

  • must be used within the client’s existing billing cycle;

  • are subject to studio availability; and

  • are non-transferable once booked.

Pilates By Ashiya reserves the right to refuse attendance where required forms are not completed or where participation would, in the Studio’s reasonable opinion, be unsafe.

3. Payment & Late / Non-Payment

3.1 Membership fees are paid by recurring monthly payment.

3.2 Where payment fails or is overdue, the Studio reserves the right to suspend sessions until payment is resolved.

3.3 Continued non-payment may result in termination of the membership in accordance with this Contract.

4. Initial Commitment & Cancellation

4.1 All Studio Memberships include an initial three-month minimum commitment.

4.2 After the initial commitment, memberships may be cancelled by email to pilates.ashiya@gmail.com.

4.3 Cancellations require a minimum of one full calendar month’s notice, received at least one full calendar month before the next scheduled billing date.

4.4 If notice is received less than one calendar month before the billing date, the following payment will be taken and cancellation will take effect from the subsequent billing cycle.

5. Freezing Memberships

5.1 After the initial commitment period, clients may request to freeze their membership for one calendar month, subject to the same notice requirements as cancellation.

5.2 By requesting a freeze, clients agree to pay for the following month upfront.

5.3 Session credits do not accumulate and may not be carried over during a freeze period.

6. Studio Holidays & Teacher Absence

6.1 Clients will be notified in advance of any planned studio closures or teacher holidays where possible.

6.2 Where the teacher is unavailable, the Studio will offer one of the following options, subject to availability:

  • an additional session in the week before or after the absence; or

  • where this is not practical, an adjustment to the following month’s payment to reflect sessions that could not be delivered.

6.3 In the event of unplanned absence due to illness or unforeseen circumstances, the same approach will apply.

7. Refunds & Cooling-Off Period

7.1 Where this Contract is entered into online or at a distance, clients have a statutory 14-day cooling-off period in accordance with the Consumer Contracts Regulations.

7.2 If sessions are requested and delivered during the cooling-off period and the client subsequently cancels, Pilates By Ashiya may deduct a proportionate amount for sessions already delivered.

7.3 After the cooling-off period has expired, membership fees are non-refundable.

7.4 No refunds will be issued for unused session credits or cancellations made outside the notice period.

8. Suspension of Services

8.1 The Studio reserves the express right to suspend services, with immediate effect where:

  • payment is overdue or repeatedly fails;

  • the client breaches the terms of this Contract;

  • the client’s behaviour is unsafe, inappropriate, or disruptive; or

  • continuing to provide services would, in the Studio’s reasonable opinion, place the client or teacher at risk.

8.2 Suspension of services does not entitle the client to a refund for unused or missed sessions.

8.3 Reasonable efforts will be made to resolve issues and reinstate services where appropriate.

9. Termination

9.1 The Studio may terminate this Contract with immediate effect where issues leading to suspension are not resolved.

9.2 In the event of termination due to breach of contract or misconduct, no refund will be due for unused session credits.

10. Force Majeure

10.1 Pilates By Ashiya shall not be liable for failure or delay in performance resulting from events beyond reasonable control (“Force Majeure Events”).

10.2 Force Majeure Events include, but are not limited to:

  • illness, injury, or incapacity of the teacher;

  • epidemics or pandemics;

  • government restrictions or public health measures;

  • natural disasters;

  • power outages, transport disruption, or technical failures.

10.3 Where possible, reasonable steps will be taken to reschedule sessions or apply proportionate payment adjustments.

11. Limitation of Liability

11.1 Nothing in this Contract limits or excludes liability for death or personal injury caused by negligence, fraud, or any liability which cannot be limited or excluded under English law.

11.2 Pilates is a physical activity involving inherent risks. Clients participate at their own risk.

11.3 To the fullest extent permitted by law, Pilates By Ashiya shall not be liable for injury, loss, or damage arising from participation in sessions except where caused by proven negligence.

11.4 Clients are responsible for disclosing relevant medical conditions, injuries, or changes in health status.

12. Intellectual Property

12.1 All teaching methods, materials, recordings, and content remain the intellectual property of Pilates By Ashiya.

12.2 Clients may not record, reproduce, distribute, or teach Studio content without prior written consent.

13. Pricing Changes

13.1 Membership pricing is subject to annual review.

13.2 Clients will be given a minimum of one calendar month’s notice prior to any rate increase.

14. Governing Law

14.1 This Contract is governed by the laws of England and Wales.

APPENDIX A (STUDIO MEMBERSHIP): Health Declaration & Informed Consent

This Health Declaration & Informed Consent forms part of the Studio Membership Contract between Pilates By Ashiya (“the Studio”) and the Client (“you”).

By attending any in-studio or Zoom-based private sessions, you confirm and agree to the following:

1. Health Declaration

1.1 You confirm that you are physically fit and able to participate in Pilates-based exercise.

1.2 You declare that you have disclosed to the Studio, prior to commencing sessions, any relevant medical conditions, injuries, pain, pregnancy, recent surgery, or changes in health that may affect your ability to participate safely.

1.3 You agree to inform the Studio promptly of any changes to your health status during the course of your membership.

1.4 Where appropriate, you confirm that you have sought medical advice and obtained clearance from a qualified healthcare professional to participate in exercise.

2. Assumption of Risk

2.1 You understand that Pilates is a physical activity and involves inherent risks, including but not limited to muscle soreness, strains, aggravation of pre-existing conditions, or injury.

2.2 You voluntarily choose to participate in sessions with full knowledge of these risks.

2.3 You accept responsibility for exercising within your own limits and following guidance and modifications provided by the Studio.

3. In-Studio & Zoom Sessions

3.1 For in-studio sessions, you agree to follow verbal and tactile cues, instructions, and safety guidance provided by the teacher.

3.2 For sessions delivered via Zoom, you acknowledge that:

·       the teacher cannot physically assist or correct you; and

·       you are responsible for ensuring a safe practice environment and suitable equipment.

3.3 You agree to stop exercising immediately and inform the teacher if you experience pain, dizziness, shortness of breath, or discomfort beyond normal exertion.

4. No Medical Advice

4.1 Instruction provided by the Studio is not medical advice, diagnosis, or treatment.

4.2 The Studio relies on information disclosed by you and does not independently assess your medical fitness.

5. Informed Consent

5.1 You consent to participate in Pilates sessions provided by Pilates By Ashiya.

5.2 You understand that you may withdraw from participation at any time and are responsible for managing your own wellbeing during sessions.

5.3 You acknowledge that failure to disclose relevant health information may increase the risk of injury.

6. Limitation of Liability

6.1 Nothing in this Appendix limits or excludes liability for death or personal injury caused by negligence or any liability which cannot be excluded under English law.

6.2 Subject to the above, Pilates By Ashiya shall not be liable for injury, loss, or damage arising from participation in sessions except where caused by proven negligence.

7. Agreement

By purchasing a Studio Membership and attending sessions, you confirm that you have read, understood, and agreed to this Health Declaration & Informed Consent.
